1) Personal information we collect

The information we collect depends on who you are and how you interact with us.

a. Information you provide directly

  • Contact & role details: name, work email or phone number, job title/role, department or location, team/manager.

  • Survey data: responses to 74 culture questions (0–5 scale and optional text). Surveys are typically sent 2–4 times per week over an 8‑week period, as configured by your employer.

  • Support/feedback: messages you send us.

b. Information collected automatically

  • Device & usage: IP address, browser type, device identifiers, referring/exit pages, and interaction with our forms, links, and dashboards.

  • Cookies & similar tech: used for session management, preferences, analytics, and security. See Cookies below.

c. Information from your employer

  • We may receive roster data from your employer (e.g., name, work email or phone, employee group/department) to invite you to participate and to show results in the right dashboards.

d. SMS program data

  • When you opt in to text messages, we record your consent/opt-in, phone number, messaging status (e.g., STOP/HELP), delivery logs, and click-through information.
     

2) How we use personal information

We use information to:

  • Deliver, authenticate, and secure the Services (including sending surveys by SMS or email).

  • Analyze responses and provide culture insights and dashboards to our client (your employer).

  • Communicate about the program (reminders, confirmations, changes) and provide support.

  • Monitor and improve the Services, including analytics and quality assurance.

  • Comply with legal obligations and enforce our Terms.

Legal bases (EEA/UK where applicable): consent (e.g., SMS), performance of a contract (providing the Services to our client and participants), legitimate interests (program administration, security, analytics), and legal obligations.
 

3) How we share information

We do not sell personal information. We share information with:

  • Service providers/Processors who support our Services (e.g., form hosting, cloud infrastructure, SMS delivery, analytics). These providers are contractually obligated to protect your information and use it only on our instructions.

  • Your employer (our client): survey participation status and results needed to deliver dashboards and culture insights. Clients may view results at individual and/or group levels based on program configuration.

  • Professional advisors & authorities when required (e.g., to comply with law, protect rights, or respond to lawful requests).

  • Business transfers: if we engage in a merger, financing, or sale of assets, information may be transferred subject to this Policy.

We may use aggregated or de‑identified insights (which do not identify you) for benchmarking, research, and product improvement.
 

4) International transfers

We are based in the United States and may process information in the U.S. and other countries. When transferring data internationally, we use appropriate safeguards (e.g., contractual clauses) as required by applicable law.
 

5) Retention

We keep personal information for as long as needed to deliver the Services and meet legal/contractual obligations. Unless your employer requests otherwise, survey responses are typically retained for 24 months after the end of a program cycle, then deleted or de‑identified. We may retain limited logs (e.g., consent records) for longer where required by law.
 

6) Your privacy rights

Depending on your location, you may have rights such as:

  • Access/Know: request a copy of personal information we hold about you.

  • Correct/Update inaccurate information.

  • Delete your personal information, subject to exceptions.

  • Opt out of marketing or certain processing.

  • Portability (receive information in a portable format).

  • Withdraw consent where processing is based on consent (e.g., SMS). This does not affect processing before withdrawal.

7) SMS (Text Messaging) Terms & Disclosures

  • Cost: Msg & data rates may apply.
